Privacy Policy

Produced March 2024, Female Veterans Transformation Programme (FVTP) 

 

FVTP is a UK wide programme hosted by the WRAC Association and governed by the Female Veterans Cluster of COBSEO. 

The WRACA Data Privacy Policy (insert link) oversees all work of the FVTP, however, this document gives specific information on how data received by the programme will be used. 

Definitions 

“Personal data” is information that relates to an identifiable person who can be directly or indirectly identified from that information, for example, a person’s name, identification number, location, online identifier. It can also include pseudonymised data. 

“Data processing” is any operation or set of operations which is performed on personal data or on sets of personal data, whether or not by automated means, such as collection, recording, organisation, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction. 

 

What information will we collect and why 

The FVTP exists to ‘transform the sector (charity, statutory and commercial) to improve services and support for female veterans’. In order to do this, we will be delivering a programme of consultation and co-production, whereby we will ask female veterans and those that support them to give us their views on how services can be improved in the future. This process will take place in 2 ways: 

  • Questionnaire. The questionnaire will be disseminated and information gathered predominantly online via Google Forms, but also, where requested by post. All questionnaires will be anonymous and as such we will be collecting no ‘personal data’ (in accordance with the definition above). Participants will only be asked which service they served in, for how long they served and when they left, with answers given in range brackets. Informed consent will be part of the questionnaire returns process.

  • Focus groups. The focus groups will take place online and face to face in small groups of up to 15 people. These small group discussions  will identify the key sections and themes for the toolkit and, in turn, improvement for the sector, moving forward. The participants will be made up of female veterans and those that support them. The data gathered will be thematic and focused on service improvement. We will gather data on those involved to understand who has participated (name, contact details, veteran or service provider, which service you served with, for how long and when you left). Personal data i.e. name and contact details, will be kept by the programme team only to enable individuals to be invited to follow on activities. Personal data will be otherwise separated from participants' contributions to the focus groups which will only be used anonymously. No personal data will be shared further than the programme team and all other data will be shared as anonymised information about the participants i.e. 50% were Army Veterans, and not in a way that enables participants to be identified, for example in reports and updates about the programme. Informed consent will be gathered prior to any participant taking part in a focus group. 

Data Protection Principles 

Under GDPR, all personal data obtained and held by us must be processed according to a set of core principles. In accordance with these principles, we will ensure that: 

  1. Data processing will be fair, lawful and transparent. 

  2. Data be collected for specific, explicit, and legitimate purposes, as noted in the statement above. FVTP does not sell, trade or rent personal data to others. 

  3. Data collected will be adequate, relevant and limited to what is necessary for the purposes of processing as specified. 

  4. Data will be kept accurate and up to date. Data which is found to be inaccurate will be rectified or erased without delay. 

  5. Data is not kept for longer than is necessary for its given purpose. All personal data will be deleted on completion of the programme. 

  6. Data will be processed in a manner that ensures appropriate security of personal data including protection against unauthorised or unlawful processing, accidental loss, destruction or damage by using appropriate technical or organisation measures.  

  7. We will comply with the relevant GDPR procedures for the international transfer of personal data.
